Privacy Policy

Zeus for Pets is operated by Treefrog Systems LLC, a Texas limited liability company ("we," "us"). Contact: support@zeusforpets.com.

1. What we collect
We may collect the following categories of information:
- Account information, including your name, email address, password in hashed form, city, state, ZIP code, account preferences, and authentication and security information.
- Pet and animal information, including names, profiles, photographs, medical and vaccination records, appointments, care logs, weights, expenses, receipts, documents, notes, intake information, observation notes, adoption records, and other information you choose to provide.
- Shelter and staff information, including shelter contact information, facility address and telephone number, staff names, assigned roles and tasks, record-entry history, and account-administration information.
- Transaction information, including subscription status, plan, billing dates, transaction identifiers, and refund or cancellation information. Payment-card information is collected and processed by Paddle and is not stored by us, except that we may receive limited transaction and billing information.
- Device and usage information, including push-notification tokens, security logs, access timestamps, and limited product-usage information. We do not intentionally use device fingerprinting or account-linked behavioral advertising analytics.
- Communications, including support requests, feedback, privacy requests, and other messages you send to us.
- Information about other people. Records, receipts, photographs, and other content you upload may contain information about veterinarians, adopters, shelter personnel, pet sitters, family members, or other individuals. You are responsible for having the authority to provide that information.
We collect information directly from you, from participating shelters and their authorized personnel, from other users who share or transfer records through the Service, from our service providers, and automatically through operation and security of the Service.
In plain words: we collect what the app needs to work. We deliberately do not ask pet owners for a street address or phone number, and our product analytics are anonymous counters, not a profile of you.
2. How we use it
- To provide the Service: showing you your records, syncing across devices, sending the reminders you configure (vaccines, food, care).
- Transactional email (reminders, password resets, invite and security notices) is sent regardless of marketing preferences.
- Marketing email is sent only with your consent (the checkbox at signup or in Settings), and every marketing email includes an unsubscribe link. Turning it off never affects reminders about your pets.
- AI features. If you use an AI-enabled feature, such as receipt scanning, document scanning, or Vet Q&A, we may send the content you submit and related instructions to our AI service providers for processing on our behalf. The information may include images, documents, text, or pet-related records that you choose to submit. We use the resulting output to provide the requested feature, improve the operation and safety of the Service, and investigate errors or misuse. We contractually require our service providers to process personal information only for authorized purposes and subject to appropriate confidentiality and security obligations. We do not authorize our AI service providers to use identifiable user content to train general-purpose AI models except where we separately disclose that practice and obtain any consent required by law. You should not submit information you do not have the right to disclose.
3. When information is shared
- Service providers. We disclose information to service providers that perform functions for us, such as website and application hosting, database services, file storage, email delivery, customer support, security, payment processing, and AI processing. Our current providers may include Vercel, Neon, Cloudflare, Resend, Paddle, and Anthropic. Providers receive only the information reasonably necessary to perform their services. Our providers may change as the Service evolves.
- Sharing you initiate: the app has share links you explicitly create, such as a sitter sheet link, a vaccine card link, or a lost-pet page. They show only what the feature describes. Disabling a link stops future access through the Service (see Section 6 for what disabling cannot undo).
- Adoption transfers: when a shelter hands an animal's records to its adopter through the app, those records (photos, documents, vaccine history) transfer to the adopter's account. Internal shelter operational data (kennel warnings, staff notes) does not follow the animal.
- Public adoptable listings: an animal appears publicly only if its shelter has explicitly opted in, and the shelter can turn this off at any time. Lost-pet pages never display your pet's microchip number.
- We do not sell personal information.
- Legal compulsion: we may disclose information if required by law.
4. Your choices and rights
- Access and export: you can export your complete account data from Settings at any time.
- Deletion and retention. You may request deletion of your account through Settings or by contacting support@zeusforpets.com. When an account is deleted, we will delete or deidentify the associated personal information from our active systems within 30 days, unless continued retention is reasonably necessary to comply with law, maintain transaction or tax records, prevent fraud or abuse, protect the security and integrity of the Service, resolve disputes, enforce our agreements, or establish or defend legal claims. Residual copies may remain in encrypted backups until those backups are overwritten through our ordinary backup-rotation process, which generally occurs within 90 days. Information that you directed us to transfer to another user, including an adopter, may remain in the recipient's account. Information shared through a public page or share link may also have been copied or retained by third parties before the page or link was disabled. We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, considering the nature and sensitivity of the information, the duration of the account or shelter relationship, legal and accounting requirements, security needs, and the establishment or defense of legal claims. Deidentified information that cannot reasonably be linked to an individual may be retained for analytics, security, and service-improvement purposes.
- Correction: everything you entered, you can edit.
State privacy rights. Depending on where you live and subject to applicable exemptions, you may have the right to:
- Confirm whether we process your personal information and access that information;
- Correct inaccurate personal information;
- Request deletion of personal information;
- Obtain a portable copy of certain personal information;
- Opt out of the sale of personal information, targeted advertising, or certain profiling; and
- Appeal our refusal to act on a privacy request.
Treefrog Systems LLC does not currently sell personal information for monetary consideration or process personal information for targeted advertising or legally regulated profiling.
You may exercise an applicable privacy right through the account options in Settings (export and deletion) or by emailing support@zeusforpets.com with the subject line "Privacy Request." We may take reasonable steps to verify your identity and authority before completing a request. If we cannot verify a request, we may ask for additional information or deny the request as permitted by law.
We will respond within the period required by applicable law. If we deny your request, you may appeal by emailing support@zeusforpets.com with the subject line "Privacy Appeal" and explaining the basis for your appeal. We will not discriminate against you for exercising an applicable privacy right. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and verification of the consumer's identity.
In plain words: your records are yours to export, fix, or delete. Deleting your account clears it from our working systems within a month; backups roll off within about three months, and anything you already handed to an adopter or shared by link stays where you sent it.
5. Children
The Service is intended for persons who are at least 18 years old and is not directed to children under 13. Children may not create accounts or purchase subscriptions. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information to us without appropriate authorization, contact support@zeusforpets.com, and we will investigate and take appropriate action.
Users must not upload a child's personal information unless they have the legal authority and any consent required to do so.
6. Sharing features and security
Private files are designed to be accessible only through authenticated, authorization-checked requests. However, certain features allow you or an authorized shelter to create share links, publish adoptable-animal listings, transfer records to an adopter, or create a public lost-pet page. Information shared through those features may be viewed, copied, or redistributed by anyone who receives the link or accesses the public page. You are responsible for reviewing the information before sharing or publishing it.
You can disable an active share link or public page through the Service. Disabling access prevents future access through the active Service but cannot delete copies previously downloaded, captured, cached, or redistributed by others.
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including password hashing, access controls, private file storage, and account- and role-based restrictions for shelter information. No system, transmission method, or storage technology is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your credentials and promptly notifying us of suspected unauthorized account access.
7. Changes
We will post changes here and update the effective date; material changes will be announced by email or in-app notice.
In plain words: your pet's records are yours. We keep the lights on, we don't sell you, and the only people who see an animal publicly are the ones its shelter chose to show it to.
